Studio Accountant
Part Time
We’re looking for someone who is friendly, conscientious and meticulous - a natural organiser who takes real satisfaction in accurate, well-kept books. You’ll need strong working knowledge of QuickBooks, as it’s our core financial system, but we’re also looking for someone with broader confidence around technology. We’re currently expanding what QuickBooks can do for us and actively reviewing our procurement and operational processes, including exploring how AI tools can support smarter, more efficient ways of working. The right person will be curious about these opportunities, not daunted by them.
This is an office-based role at the Richmond studio, working three days per week.
Core Responsibilities
1. Bookkeeping & Transaction Management (Weekly)
• Maintain QuickBooks as the live financial system
• Weekly coding of all income and expenditure
• Bank, credit card and expense reconciliations
• Ensure all receipts and supporting documentation are attached and compliant
• Maintain a clean, logical Chart of Accounts
• Ensure correct VAT coding where applicable
2. Monthly Management Accounts
Produce a full set of monthly management accounts every month, forming the basis of director review and decision-making:
• Profit & Loss - month and year to date
• Budget vs Actual comparison
• Overheads review
• Cash position snapshot
• Commentary on key variances and trends
3. Project & Cost Control
• Ensure costs are accurately coded to the correct projects
• Work closely with the procurement and design teams to ensure financial data reflects live project activity
• Monitor project margins and flag overspends or anomalies early
• Support forecasting by providing accurate historic cost data
4. Cashflow & Financial Oversight
• Monitor cashflow on an ongoing basis
• Flag upcoming pressure points - VAT, tax, large supplier payments
• Maintain visibility over cash runway and committed expenditure
• Assist with basic short-term cashflow forecasting as required
5. Liaison with External Accountant
External Accountant provides quarterly review, compliance and advisory support. Bookkeeper acts as the primary point of contact and prepares all materials for these engagements:
• Prepare quarterly financial packs for Financial review meetings
• Implement any recommendations following quarterly reviews
• Support year-end accounts and statutory filings prepared by External Accountant
• Ensure books are clean and fully reconciled ahead of each quarterly review and year-end
• Prepare quarterly VAT returns for external accountant to submit
6. Systems, Process & Controls
• Own and continuously improve QuickBooks processes and workflows
• Ensure consistency and accuracy of all financial data
• Maintain clear audit trails and documentation
• Help embed good financial discipline across the business
• Support transition away from legacy or manual processes where relevant
What We’re Looking For
• AAT qualified (or equivalent), with a minimum of three years’ bookkeeping experience
• Strong, confident working knowledge of QuickBooks
• Experience producing monthly management accounts
• Comfortable with technology and open to new ways of working
• Meticulous attention to detail and a methodical, well-organised approach
• Friendly, professional manner and a genuine team player
• Experience in a small business or studio environment would be a plus, but isn’t essential
